Payment Policy:
To ensure full payment of all fees customers must prepay in weekly amounts, not including WINZ subsidy, (only where the subsidy agreements have been received by the HBCYC staff 1 week prior to booking). All payments including WINZ remain with the customer until written confirmation has been received. Please note it is the customer’s responsibility to settle all payments due. In any event that payment is failed when due (including any defaults), the full amount of all costs including collection/ administration costs, any reasonable attorney fees and/or expenses, will become the responsibility of the parent and/or any account holders.
Any over payment for the customer will be credited to your account within 14 working days.
Fees can be paid by Eftpos, Cash or Internet Banking.
Internet banking with full name of child as reference to: ASB 12-3046-0256259-01.
Please notify by email ASAP if paying by internet banking.
Cancellation and Refund Policy:
Notice must be given 2 weeks prior to any program starting to receive full refund.
If sick, or you wish to cancel your child's attendance, please let us know 1 week in advance for a refund to be given.
Withdrawal from the program will incur a $5 administration fee, per child, per day for the following two weeks.
Refunds take up to 14 working days and will be by direct debit into a nominated bank account.
Any shortfall of WINZ payments will require payment by the customer.
Late Pick Up fees:
It is imperative you pick up your children from the program on time. The following fees could apply if you are late to pick up your child:
Every hour before closing will be charged a standard rate, and $15/child for every 15 minutes after 6:00 pm.
Medication:
All medication will be collected by program leader and must be signed in and out by parents. A medication form must be filled out during your child's day in program.
Personal Property:
We will not be held responsible for any loss or damage to personal belongings.
It is advisable your child does not bring anything he or she values.
Lost property found will be placed in the lost property bin.
Any lost property remaining ten days after the program will be donated to the community house.
Procedure For Complaints:
Ask a staff member for a complaints form.
Fill out such form and address in confidence to an on duty manager.
You retain the right to retain a copy for your reference.
A letter will be sent acknowledging receipt of the complaint within 5 working days of complaint date.
All complaints will be treated as confidential.
Child's Behaviour Procedure:
There is no swearing or use of bad language, hitting, or fighting.
If any of the rules are broken, then the following procedure is started.
Verbal warning and discussed behaviour with parents.
Written warning and parents called for further discussion.
Final warning and the child is stepped down for the rest of the day.
Violent behavior may result in suspension from the program.
Limited Confidentiality Clause:
I acknowledge that the information contained herein is confidential and, pursuant to the Privacy act, will only be strictly used by the Hibiscus Coast Youth Council Inc team to effectively care for my child/ren and not used or distributed for any other purposes. Representatives from Ministry of Social Development may view this information as part of the programme assessment process.
